## Key Concepts
**Claim** = A request for payment based on services delivered (documented in progress notes)
**NDIA-Managed** = NDIS agency-managed participants (use bulk upload to myplace portal)
**Plan-Managed** = Participants with a plan manager who handles invoices
**Self-Managed** = Participants who manage their own NDIS funding
**Bulk Upload** = CSV file submitted to NDIS myplace portal for agency-managed claims
**Support Log** = Another name for progress notes/claims documentation

## Workflow Overview
### Standard Invoicing Process:
1. **Services Delivered** → Staff create progress notes
2. **Validate Hours** → Manager reviews billable hours on Organisation Calendar
3. **Create Claims** → Generate invoices from progress notes
4. **Send Invoices** → Send to plan manager, participant, or submit bulk upload
5. **Export to Accounting** → Send to Xero/MYOB/QuickBooks for reconciliation
### Monthly Timeline:
- **Week 1-3:** Service delivery and progress note creation
- **Week 4:** Validate billable hours
- **Week 4/Month-end:** Create and send invoices
- **Month-end:** Export to accounting software
