# About Roadmap
Create a Roadmap within Comm.care for every Circle, to show which support services will be delivered against what timeframes for a specific Client.
The **Roadmap displays each of the Services** provided to your Client by any Organisation in the past, currently, or in the future, and is essential for accurate reporting purposes.
Before adding new services to your Circle, ensure that the service is listed in Comm.care under your Organisation, or it will not appear in the form. To add a new service to your Organisation refer to [Managing Services](../../setup-and-configuration/services-configuration/managing-services.md). Then, [Add Support Services to Roadmap](adding-services-to-roadmap.md) within a Circle.

Adding a budget to each support service on a Roadmap allows you to:
1. Show a Client's total available funding/budget allocation;
2. Keep track of actual expenditure (Comm.care populates this automatically based on **progress notes**);
3. Monitor the budget utilisation rate for that particular service;
4. Highlight the time remaining to utilise the remaining budget for providing that service.
Adding a budget allows you to filter your Circles based on budget utilisation, so you can more easily find Clients that need attention.
> _We call this the budget **utilisation rate**: the closer your utilisation rate is to 100%, the closer the alignment between how much you've spent/delivered proportional to the length of time you are contracted to deliver that service. Utilisation rate figures are calculated and updated every evening. So let's say you've spend 20% of the total budget, and you're also 20% of the way through a year-long contract, the utilisation rate would be 100. And you'll know you're on track to deliver the right amount of supports within the time frame. Under 100% means you haven't delivered the level of supports expected by that stage. It's important to note, the utilisation rate is based on service delivery being spread evenly across the time of the contract. Being close to 100% gives you a good indication you're on track._
Comm.care is a great NDIS software choice for small providers as well as large providers as you can quickly gauge whether funds are being used too slowly or quickly over the time frame of the Roadmap, so you can reconsider the timing and resources being invested in the delivery of a particular service.

When more than one Organisation has been added to a Circle in Comm.care, the filters on the right allow you to filter services based on their **status** and the **Organisation** from whom the service is provided. ## NDIS Funding Periods
For NDIS Services Roadmaps, the Financial section includes **Funding Periods**: shorter budget windows within your Roadmap (for example, quarterly) that let you track how well a Client's budget is being used right now, not just across the whole plan.
A Roadmap can hold **one or more consecutive Funding Periods** covering its timeline — each period with its own dates and budget, shown as a row in the Funding Periods section of the Roadmap modal, under **Financial**.

When you create an NDIS Services Roadmap, Comm.care starts you off with a single period spanning the Roadmap's **From** and **To** dates. You can keep that, or split it into as many periods as your Client's plan requires.
### Fields
Each Funding Period row has:
| Field | Details |
|---|---|
| **Start Date** | The first period defaults to the Roadmap **From** date. Editable, but must not be earlier than the Roadmap **From** date and must not overlap the previous period. |
| **End Date** | The last period defaults to the Roadmap **To** date. Editable, but must be later than Start Date and no later than the Roadmap **To** date. |
| **Budget** | The budget allocated for this specific funding period. Editable. |
| **Actual Expenditure** | Total spend from progress notes recorded within the period dates — each progress note counts towards exactly one period. Read-only. Comm.care calculates and updates this each night. |
Two progress bars give you a quick snapshot for each period:
- **Budget**: how much remains of the period budget
- **Time**: how much time is left in the period
When you open a saved Roadmap, each period row is colour-coded so you can see where you are at a glance: **past** periods are grey, the **current** period is highlighted light yellow, and **future** periods are white.

### Adding a Funding Period
When a funding period ends — or you want to plan ahead — you don't need to create a new Roadmap. Click **Add** to split the timeline into another period.
Comm.care keeps the periods continuous for you: when you set the End Date of one period, the next period automatically starts the following day, so there are never gaps or overlaps. Set the new period's Budget and you're done.

### Removing a Funding Period
Click **Remove** on a period row to delete it. The adjacent periods merge to keep the timeline continuous. A Roadmap always keeps at least one period — the Remove button is disabled when only one remains.
