# Customer Service Management : Workforce rostering
You can look at the workforce roster from the Organisation Calendar. It provides an overview of your Organisation's schedule; in either Agenda, Day, or Week view.

# Duplicate from an existing appointment
Duplicating an appointment (whether for group or single services) allows you to quickly create a new appointment with nearly all the same details. This saves you time by pre-filling repeated information, like line items, when rostering.
Here’s how to duplicate an appointment:
1. Open the appointment you want to duplicate on Organisation Calendar.
2. Click the Duplicate button at the bottom-right corner.

3. Edit the details of the new appointment as needed.
4. Click **Save & Notify** or **Save Only** to finalise.
*****The duplicated appointment will:
- Have the Date automatically set to the current day.
- Not have any repeat rules from the original appointment (if any)
# Reassign appointments when staff call in sick
Here's how to reassign staff to appointments when a staff member calls in sick: **Select the staff** (by sliding on the Staff filter to see their roster for the day) **> Click on the appointment > Edit > Remove the attendee and choose another staff > Save changes.**

# Validate Time & Attendance (check for incomplete progress notes)
Don’t waste your Mondays checking that the troops have entered their hours. With just 1 click you can see what Progress Notes are missing from the roster!
Go to **Organisation > Calendar** and select **Without Progress Notes** from the **Priority** filter on the right.
If you see any appointments with little red page icons, this indicates that a Progress Note has not been completed for that appointment. Just click on the Progress Note icon to create one.

# Pinpoint unallocated appointments on the roster
We all hate it when an angry Client calls in because a support worker didn’t show up to a scheduled appointment! Well with Comm.care, you just have to keep an eye on the Organisation calendar, to see if there are any unallocated appointments!
Go to your **Organisation > Calendar** and select **Unassigned Appointments** from the **Priority** tab (on the right).

# Avoid time clash with Staff Availability

When an appointment is booked with the Circle, a message box pops up to give you a warning if the assigned staff is already booked. It enables the organisation to avoid scheduling conflicts and manage staff availability smarter.
You still will be able to save the appointment in case of Group services or other cases where the worker has multiple appointments.
# Check Staff hours

Check total hours booked for each staff in a single view through the _Staff_ filter. It will help you plan your staff hours while creating appointments for clients in the Circle's filter.

# Apply Schedule View Mode
If you are a large organisation with many appointments or you provide 24/7 services, the Schedule View Mode will allow you to see your organisation’s appointments easier.
On the Organisation Calendar screen, select the ‘**Schedule**’ view mode.

With this view mode, the appointments are sorted by resource/staff (rows) days in a week (columns) .
## Filter by Service
You can quickly filter appointments by services.
On the top left corner of the Calendar, click **Select service…** to select the service(s) by which you want to filter the appointments.

**SIL Providers with multiple homes**?
SIL providers with multiple homes should focus on one home at a time. Filtering the services related to each home allows you to see the roster for that specific home.
## Unassigned appointments
For appointments that are not assigned, they will be shown on top of the tables. This will help you identify unassigned appointments faster, and therefore schedule your rostering more efficiently.

## Staff
Also, for each resource/staff, you can:
- See their booked hours and availability(by hovering on the staff’s name). For more information on Staff Availability, [Managing Staff Availability](Managing%20Staff%20Availability.md).

- Hide their appointments (by toggling their names off) so you can focus on other resources/staff. If you want to see them again, simply toggle their names on again.
