# Worker Screening Check
This feature is only available for organisations on the [Quality Management System plan](Getting%20Started%20with%20your%20Quality%20Management%20System%20(QMS).md).
Worker Screening Check allows you to create and keep track of employee checks within your Organisation on Comm.care.
# Create Check
As a manager, you can go to the HR tab to manage everything related to your staff.
Go to **Organisation > HR** and click on the plus button (+) on the right of the staff table.
On the Staff Check modal, you need to enter some information:
- **What is the name of this staff check?** Enter the name of the Check, for example: Police Check
- **Should every staff have this check?** Toggle on if it applies to all staff members; toggle off if it only applies to specific roles
- **Do you want to add a reference link for this check?** If applicable, enter a URL that links to more information or official documentation for this check
- **Does this check have an expiration date for renewal?** Toggle on if the certification/check needs to be renewed after a certain period
- **Is staff required to enter the expiration date?** Toggle on if you want staff members to input the date their certification/check expires
- **Do you want to add a reminder for staff to renew this certification?** Toggle on to enable automated reminders for staff before their certification expires.
- **How many days before expiry should we send a reminder?** Enter the number of days before the expiration date to notify staff, for example: enter “30” to notify staff one month before expiry
- **Do you want to allow staff to upload a file?** Toggle on to let staff upload a document or certificate as proof of the completed check
- **Is staff required to upload the file?** Toggle on if uploading the file is mandatory for completing this check
- **Do you want to mark this check as ‘Undone’ for all staff?** Click the "Set to Undone" button to mark this Staff Check as Undone for all staff
After filling in all the required information, click the “Save Changes” button to save the Staff Check.

# Have Staff to Complete the Check
Your staff will have access to view and edit their own Worker Check on their profile. This way, they will be able to keep their documents up-to-date.
> **Note:** _The Reminder functions as a Task to prompt staff to renew the Check before the expiration date._

For any **Staff Check** where **“Should every staff have this check?”** is **not enabled**, the check will **not appear by default** in a staff member’s **Worker Checks** section on their profile.
Instead, these checks are considered **optional**, and staff can add them manually when needed.
**How staff can add optional checks:**
- Go to the staff member’s **Profile** page.
- Scroll to the **Worker Checks** section.
- Click on the **“Add Checks”** button.
- From the list, select any **optional staff checks** that apply to them.
This approach allows flexibility for role-specific or situation-dependent checks, while still maintaining accurate records.

In each Check row, there is now an **Approved** toggle. This helps you track whether a Worker Screening Check has been reviewed and confirmed by a Manager. [See more details](Worker%20Screening%20Check%20Approval.md)
# Keep Track of Worker Screening Check
You can easily search for staff based on their checks and other filters. This feature helps you:
- Find staff with **unapproved checks**
- Identify certifications that are **expiring soon**
- Find staff who have **failed a screening check**
- Spot missing **attachments**
This ensures that all required checks are current and compliant at all times.
#### **How to filter staff by checks:**
- Go to **Organisation > HR**.
- Use the **filter panel on the right-hand side** to search by:
- Staff with unapproved checks
- Staff with expiration coming up
- Staff failing work screening
- Missing attachments (proof)
This proactive approach helps your organisation stay ahead of compliance issues and ensures your team remains qualified and ready to work.
