# Customer Service Management : Using Templates for Daily Activity Services If your organisation provides Daily Activity services, such as Morning routines, you may find that support workers often need to record or track similar information in their progress notes after every shift. To ensure the consistency and quality of these progress notes, using a template can be immensely beneficial. This tutorial will provide guidance on how to implement this solution effectively. # Step 1: Creating a Template [Ensure uniformity across documents with Templates](Ensure%20uniformity%20across%20documents%20with%20Templates.md)are crucial assets for your organisation, ensuring consistency and efficiency in business operations. To create a template, go to **Your Organisation Tab > Templates > Add Template**. Fill in the basic fields and add custom fields if needed. Be sure to select ‘_Progress Note_’ in the field '_Template for_'. ![Screenshot 2024-05-06 at 15.03.15.png](help/Attachments/185532417.png) If you want to create a template for ‘_Daily Routine_’ specially for the morning shift, you can include a checklist of participant activities or organisational procedures that support workers must monitor and follow.  This _'Daily Routine - Morning'_ template differs from other Daily Routine templates based on its content, applicable time, participants, etc.  Ultimately, the customisation of templates will guarantee that each progress note completed by support workers after every shift is specific and comprehensive. # Step 2: Template Selection during Appointment Creation After adding a service to the [Add Support Services to Roadmap](Add%20Support%20Services%20to%20Roadmap.md), the next step is to schedule an appointment for that service. In accordance with your organisation's workflow, each appointment should have a progress note with a specific template.  Therefore, it's important to select a _Default Progress Note Template_ when creating an appointment to ensure the subsequent progress note follows the desired template. For example, when scheduling an appointment for a morning shift of a Daily Activity service, you can select the progress note template titled “Daily Routine - Morning” instead of other options. ![Screenshot 2024-05-06 at 15.11.23.png](help/Attachments/185565185.png) Following the template selection, you can proceed to [Create or Delete Appointments](Create%20or%20Delete%20Appointments.md) as usual on Comm.care. # Step 3: Progress Note Completion By pre-selecting a progress note template during appointment creation, the [Progress Notes](Progress%20Notes.md) attached to the appointment comes with relevant fields. When opening the progress note (indicated by the small red page icon on the appointment), support workers simply enter detailed and critical information, ensuring all predetermined fields are completed.  ![Screenshot 2024-05-06 at 15.19.05.png](help/Attachments/184942670.png) Once done, the progress note will reflect your organisation's requirements, ensuring consistency and business standards. # Step 4: Progress Note Retrieval Now each progress note uses a template, finding specific specific notes is much simpler, thanks to the available filters on the [Timeline - Working with the persons records](Timeline%20-%20Working%20with%20the%20persons%20records.md) on Comm.care. Particularly, using the "Document Template Fields" filter allows you to precisely get progress notes containing specific fields with designated values. For example, if you’re looking for progress notes indicating whether the participant brushed their teeth independently, select a "Yes" value.
