# Customer Service Management : Circle's Roles Comm.care allows you to take the utmost care of Client data. Each user, whether Staff or another person, can be assigned one or more roles in a particular Circle, each with different permissions. This article will give you a brief overview of assigning various roles to users in a Circle. Every user has an Organisational Role: **Manager, Staff, and Volunteer.** (For more details, [visit this tutorial](Organisation%20Roles.md)). However, within a circle, they can have one or more roles, including **Coordinator, Service Provider, Service Aid, and Admin,** while other roles include **Guardian**, **Carer**, or **Person**. # Typical Circle Roles The typical roles are for users who are the staff members of your Organisation. They can be a **Coordinator, Service Provider, Service Aid, and Admin** within a circle. To see or change these roles for each user, go to **Circle > Participant** and look for the **My Organisation** section. They have full access to the service plans, can read and modify all Documents, and comment on them. | | ![service_provider.png](help/Attachments/146669831.png) | **Service Provider**<br><br>Service Providers provide direct support to the Client. They are trained professionals who have access to daily administrative information, as well as the Client’s personal information. They can read all Documents and comment on them. | | ![service_aid.png](help/Attachments/147554314.png) | **Aid**<br><br>Aids provide direct support (i.e. a service) to the Client. They have access to daily administrative information but do not have access to complex information, such as personal plans.<br><br>Also, even when an Aid user has a ‘Update’ access on a Progress Note, they can only update/edit the progress note that they’re an attendee of. They cannot update/edit other staff’s progress notes at all. | | ![admin_assistant.png](help/Attachments/147193949.png) | **Admin**<br><br>Admins coordinate the administrative work for their Organisation. Admins can update the Circle's profile and create appointments. They do not have access to personal information, such as service events and personal plans. They will be able to update Staff Profiles in their Organisation. | Furthermore, to manage the level of access within a Circle for each role, go to **Circle > Participant > My Organisation > View their Access to your information**. ![image-20240326-045742.png](help/Attachments/155975701.png) If you are a **Manager** of the organisation, you will have full access to EVERY circle, regardless of your role within it—or even if you are not a member of that circle. ## The Informal Circle of Care If a user doesn’t belong to your organisation but is also a part of the Circle, then this user is an Informal user. To see and manage their roles, go to **Circle > Participant** and look for the **Informal Care Group** section. Then, click on the **role** that comes with each user name. Can read all documents and comment on them. The Guardian can give access to the Circle to individual users such as family and friends. The Guardian can also, if your Organisation agrees, grant access to the Circle to other organisations that provide services to the Client. | | ![personal_carer.png](help/Attachments/147423268.png) | **Carer**<br><br>This role is given to the person that looks after the Client just out of love, like a good neighbour, close friend, or family relatives. Can read all documents and comment on them. They can also update notes. | Carers and Guardians can read and comment on the Documents an Organisation has created, only if the Organisation gives them access. If you wish to gain access to these documents, please contact the Organisation directly.
